Creating and saving custom views

Learn how to customize a Hyperproof window and save your changes for later.

Roles and permissions

The following roles can create and save custom views:

  • Any user with access to the window can create a new view, switch to a saved view, and duplicate the views they can access.

  • The owner of the view can edit, delete, or share it.

  • Only administrators can make a view the organization's default view.

A saved view is a named, reusable configuration of the columns, sort order, grouping, and filters on a Hyperproof window. Save a view once, then switch back to it anytime. You can share it so the rest of your organization can use it, too. A saved view is tied to a specific type of list, so a view you create for tasks, for example, works identically everywhere that list appears, including inside every audit and assessment.

Saved views include the following:

  • Columns - Which fields are shown, and their order

  • Sort - The column and direction results are sorted by

  • Group by - How rows are grouped, including by a custom field

  • Filters - The field-level filter conditions applied to the list

Views are saved separately for each possible layout for a window. For example, Controls has three layouts: Grid, Card, and Crosswalks. Each can have its own columns, sorting, and grouping, but all layouts share the same filters.

Note: Column widths aren't part of a view; that stays a personal setting on your screen. Switching to a saved view never changes which layout (grid, card, or crosswalk) you're displaying.

Customized views are available for the following Hyperproof objects:

  • Approvals

  • Assessments

  • Audits

  • Controls

  • Evaluations

  • Groups

  • Hierarchical control scopes

  • Issues

  • Labels

  • Policies

  • Programs

  • Proof

  • Repeating tasks

  • Requests

  • Requirements

  • Risks

  • Scopes (Settings > Scopes)

  • Tasks

  • Users

  • Vendors

Using the view selector

The view selector sits in the page toolbar and shows the name of the view you're currently using. The selector displays the Default view if you haven't selected one.

Switching views

  1. Click the arrow next to the view selector.

  2. Under My views or Available views, select the view you want. The window reloads immediately with that view's columns, sort, grouping, and filters.

A checkmark marks the view you currently have selected. A building icon marks your organization's default view.

Creating a view

  1. Set up the page the way you want it, including columns, sort, grouping, and filters.

  2. Click the arrow next to the view selector and select New view.
    The Saved views window displays.

  3. Enter a name in the View Name field.

  4. Click Apply view to save it and switch to it.

Saving or discarding changes

If you change the columns, sort, grouping, or filters while a view you own is selected, the view selector shows that it's been modified.

  1. Click the arrow next to the view selector.

  2. Under View actions, click Save changes to update the view, or Clear changes to discard your edits and revert to the saved version.

Note: You can only save changes to a view you own. To keep your edits to a shared view that isn't yours, use Duplicate view to make your own copy first.

Managing a view

Open Manage views from the view selector to edit a view's name, fields, filters, or sharing.

The Saved views window has up to three tabs:

  • Overview - This tab includes the view's name, who created it, and when it was last updated, a summary of how many fields and filters are customized, sharing options, and actions.

  • Fields - This tab controls which columns are shown, their order, the list's sort order, and whether the list should be sorted ascending or descending. Drag and drop the fields to change the order of the columns.

  • Filters - This tab controls the filter conditions applied by the view. It is only shown on windows that support filtering; Programs, for example, doesn't have a Filters option.

If your edits to the fields or filters differ from what's saved, a Save button appears next to Apply view. Apply view applies your changes to the page without updating the saved view. Save updates the view itself.

Duplicating a view

Anyone can duplicate a view they can see, including one shared by someone else.

  1. Open Manage views.

  2. Click Duplicate view.

The copy is named after the original (for example, "Compliance tasks (copy)"), belongs to you, and starts out private.

Deleting a view

Only the owner of a view can delete it.

  1. Open Manage views for the view you want to remove.

  2. Click Delete View.

If you delete the view you currently have selected, you're switched to your organization's default view, or to Default view if no default is set. Any unsaved changes you had are kept and applied on top of the fallback view.

Sharing a view with your organization

From the Overview tab in Manage views, use the Share with organization menu to choose:

  • Don't share (default)- Only you can see and use the view.

  • Shared to all members - Everyone in your organization can see and apply the view, though only you can edit or delete it.

  • Set as organization default - The view members see by default until they choose one of their own. Only an Administrator can select this option, and a view must already be shared before it can be set as the default.

Note: Sharing a view only shares its configuration for columns, sort, grouping, and filters. It never changes what records someone can see; everyone using a shared view still sees only what their own permissions already allow.

If someone updates a view that's shared with you and you have it open, the update appears automatically; you don't need to refresh or reselect the view.
