Roles and permissions
The following users can cancel an approval:
Anyone with manager or contributor permissions for the approval
The approval workflow provides a process for reviewing completed work. If the approval workflow is configured for a Hyperproof object, when a record, such as a policy document, changes status, Hyperproof creates a series of approval records. These approvals can be cancelled manually or automatically when there is a specific change in the object status. When an approval is cancelled, it displays in the Work items > Approvals under the Cancelled column in the card view or in the list of closed approvals in the grid view.
Manually canceling an approval
To manually cancel an approval, it must be a parent approval, and at least one associated child approval must still be incomplete. The parent approval is the top-level approval record that aggregates all approval records for the object being reviewed. Individual child approval records can't be canceled. When you cancel a parent approval, all associated incomplete child approval records are canceled.
Navigate to the object being approved, such as a policy or task.
Open the object being approved to view the Approval configuration.
Locate the approval you want to cancel and click the drop-down arrow to display the list of approval records.
Click the parent approval ID at the top of the list to open it. This ID will be a single number with no decimal point, such as AP-85. Associated child approvals will have IDs with decimal points, such as AP-85.1 and AP-85.2.
Change the approval status to Cancelled. This cancels the parent approval and any associated child approvals that have not been completed.
Cancelling an approval by changing the status of the target object
Changing the status of an object that has pending approvals can cause those approvals to be cancelled, as follows:
Policies
Incomplete policy approvals are automatically cancelled when:
A policy version is moved from the Approval stage to the Draft or Effective stage.
An approver marks their approval as Change requested.
The minimum number of approvals has been met. For example, if there are 3 approvals for a policy version, but the minimum for overall approval is 1. When one person marks their approval record as Approved, the other two are cancelled.
Tasks
Incomplete task approvals are automatically cancelled when:
Task status is changed from Submitted to In Progress, Not Started, Cancelled, or Closed.
An approver marks their approval as Change requested.
The minimum number of approvals has been met. For example, if there are 3 approvals for a task, but the minimum for overall approval is 1. When one person marks their approval record as Approved, the other two are cancelled.
